Performs a full range of clerical and administrative functions for the office. The work includes various duties and making decisions based on the programs, goals, priorities, and commitments of the Supervisor, Community Care section. The incumbent ensures that the clerical and administrative portions of the Supervisor's work is accomplished effectively allowing the Supervisor to concentrate on management duties. Both written and oral communication is made with all services within the medical center. Employee is required to converse with members of the Community Care staff regarding policies, meetings, or to coordinate activities. The incumbent receives incoming telephone calls from within the medical center and from external customers such as but not limited to patients, friends, family, service organizations, and Congressional Offices. Receives and reads incoming correspondence, forwarding to other Supervisors and receives VA personnel correspondence not directly concerning the Community Care section. Manages the calendar for the Supervisor, Community Care, and schedules meetings and events as directed and requested. The incumbent maintains suspense controls and tracks all action items with associated due dates to ensure items are completed timely. Serves as the timekeeper for the Community Care section. Responsible for coordination of RN Care Manager proficiencies and personnel records management. Assists the Supervisor and other key staff by gathering data and information to respond to inquiries from staff within the medical center and other governmental entities. Performs a variety of administrative duties necessary to accomplish the financial management mission and objectives of the medical center. Facilitates travel arrangements for staff and Supervisor, Community Care section to attend training and conferences. The arrangements include hotel reservations, and the submission of information to the Travel Clerk for voucher preparation. The incumbent will be required to operate multiple computer software programs such as excel, outlook, power point and others as needed. Acts as the secondary TMS (Talent Management System) manager to ensure that all providers complete mandatory training each year. Provides assistance to staff in managing TMS accounts by activating and resetting passwords. Acts as the secondary ADPAC to assist providers with computer access problems or any other computer issues. Routinely displays courteous and respectful behavior to all customers. Greets others with a smile, acknowledges presence of others and uses appropriate salutations. Projects a positive and professional image as a representative of the VA Medical Center. Provides advice that is timely, responsive and accurate. Maintains appropriate rapport with internal and external customers to facilitate the accomplishment of the medical center goals and mission. Keeps the Supervisor and/or Team Leader informed of difficult and/or controversial issues and unique problems. Takes action to effectively solve problems before they have an adverse impact on the organization or other employees. Protects printed and electronic files containing sensitive data in accordance with the provisions of the Privacy Act of 1974 and other applicable laws, federal regulations, VA statutes and policies, and VHA policies. Experience:
You must have one year of specialized experience equivalent to at least the next lower grade GS-5 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to:

Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have 4 years of education above high school directly related to the work of this position. OR, Combination:
Applicants may also combine education and experience to qualify at this level. You must have an combination of specialized experience and education beyond high school. For the GS-5 level, only education in excess of the first 60 semester hours is creditable toward meeting the specialized experience requirement. Physical Requirements:
The work of the Secretary is usually performed at a desk, table, or computer work station and is sedentary in nature. The work can demand traveling to other departments of the medical center, as well as departments and/or functions located in other buildings. The incumbent will carry light items from one office to another. The work, at times, may become highly stressful due to the sensitivity of matters, complexity of the tasks assigned, the diversity of the programs within the service requiring assistance, and the volume of activities.
