Information Receptionist (OA)

Based on a good working knowledge of the organization and substantive programs under the supervisor's control, the incumbent resolves problems associated with data, and clerical work of the office. Primary duties include, but are not limited to:
Receives and directs callers, patients, and visitors. Directs patients, visitors, and callers to appropriate staff member based on specific request or by ascertaining the nature of the call. Receives and/or gives out forms. Provides general telephone and visitor referral services. Composes and submits correspondence, reports, and minutes that are completed according to appropriate format, accurate in content, and free of grammatical and typographical errors. Composes routine correspondence on other subjects as outlined in regulations and procedures or as requested. Reviews incoming correspondence including regulations, MCMs, Directives, etc., to determine if they will impact the operations of the office. Performs typing work using word processing software and equipment, typing letters, reports, memoranda, inventories, rosters, mailing lists, and other general office material. Prepares materials for publication such as pamphlets, certificates, forms, graphs, technical manuals or comparable items. Utilizes advanced software functions such as automatic generation of tables of contents, importation of graphics, creation of glossaries, and/or precise alignment of columns to create materials. Integrates several types of software to generate specific working documents and forms such as spread sheet, database, word processing, desk-top publishing, graphics, and other similar products. Independently determines which correspondence can be acted upon personally and takes the initiative as appropriate. Serves as back-up timekeeper to the assigned staff for Community Care time cards. Acts as liaison to other managers and staff within the organization and provides accurate advice on procedures, reports, requirements and other matters necessary for smooth operation of the Community Health Nursing program. Schedules staff appointments and coordinates meetings and/or schedules conferences. Provides general calendar maintenance and clerical services such as maintaining calendars and recording appointments. Consistently communicates and treats customers (patients, visitors, volunteers, Medical Center staff, Veterans and their families or representatives) in a courteous tactful and respectful manner. Handles conflicts and problems in dealing with customers constructively and appropriately. Work Schedule:

Experience - Applicants must have one (1) full year of general experience equivalent to the next lower grade level (GS-3) level. Examples of General experience would typically include, but are not limited to:
utilize various problem-solving skills; effectively communicate and discuss information with various individuals with diverse backgrounds; ability to accomplish a variety of responsibilities, including setting priorities, organizing and adjusting workflow and meeting deadlines; deal with frequent interruptions, communicate orally and in writing; Customer Service skills and working with computer programs including Microsoft Word, Excel, Access, and PowerPoint. OR, Substitution of Education - Applicants may substitute education for experience. Successful completion of 2 years of education above high school level in any field. Physical Requirements:
The work is sedentary. Typically, the employee sits at desk to do the work. However, there may be some walking, standing, bending, carrying of light items such as papers, books, small parts, or delivering mail. Some occasional light lifting during and in support of outreach events may be required. Outreach events are sometimes scheduled after typical workday and on weekends. The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
